Where can they be uploaded
Vehicles currently can be uploaded to Toyota, Lexus, TradeMe (Autobase.co.nz), Dealerpoint (Autotrader, etc) & NZ Herald, Datamotive, Autogate, Autoplay & BMW Used Car locator.
How to send the file
These uploads can be scheduled to run daily (multiple times) and can also be run manually at any time. However, although the website host will receive the uploaded file immediately, whether the changes made will be applied immediately is dependent on the website provider.
Selecting which vehicles to upload
The selection criteria for used vehicles can be determined by various parameters and combinations thereof. Contact a consultant if you would like these changed.

The extracts can also be setup to include New & demo vehicles.
These can be controlled by Progress code & Sale type on the Sales Brief tab.
Other parameters available to be set:
New Vehicles – don’t upload Memo / Notes field
New Vehicles – use Shipment number field on Purchase Brief tab for selling price
Important: The VIN number must be 17 characters long or the vehicle will not be selected for upload. Those vehicles that fail this check will be printed in the timed ops log each time the extract runs.
Vehicle Selling price
By default the selling price on a vehicle that is uploaded is the Gross Sales Value on the bottom of Specification tab.
For Used vehicles, if a price is entered into the Internet Selling Price field on the Purchase Brief tab, this will override the Gross Sales Value (Note this field is GST inclusive), and on New vehicles the Shipment number field can be used if required/setup.
Additional Notes / Blurb to upload
Notes can be entered into the Features box on the Identity tab for Used vehicles to upload to websites and the Memo/notes field for New vehicles.
In addition there are an additional 1000 characters that can be made available for both New & Used vehicles, however these require an additional module to be added to the system and therefore incurs a one-off setup fee. This then makes the Supplier Notes box available, selected by right clicking on the Vehicle price (selling price) spec line:
Vehicle Fitted Options
In addition vehicle options can also be ticked to send to the web.
These options can be defined in Vehicle administration / Vehicle Menu / Tick Sheet.
Certain Previous usage types for Used vehicles can be configured to be either included or excluded (Identity tab):
Certain Physical Locations can also be selected.
An email address can be specified so that a copy of the uploaded text / csv file is emailed to a recipient. (the photos are not emailed as too large)
The extract can be set to access multiple VSB companies and combine into one file for upload.
Running the Web Extract Program
Select the required extract from the Vehicle Stockbooks menu:
You can alter the Last download date – this is used to determine which vehicles’ photos are uploaded. Only vehicles which have been added / modified since the last download will have their photos re-uploaded.
Click the Upload button.
This will process the extract.
When the Vehicle transfer complete pop-up is displayed the process is complete.
Click OK.
To Add Photos for Autoline Extracts
Save the photos on your PC into the C:\rev8work directory.
Go to Vehicle administration, choose Amend.
On the Definition tab click the ellipsis next to Picture.
Select Manage pictures.
Select the Picture name in the left pane (Pictures on PC):
Then click the Transfer button.
Note: Do not name the photos beginning with the stock number – precede the name with a letter N or U.
Click the Picture name in the right pane (Pictures on Server):
Then click the Assign picture(s) to vehicle button.
This will copy the image and rename it XXXXXX-NNN.jpg, where XXXXXX = stock number and NNN = picture number.
Click Close when complete – then Save the vehicle.
Note: To be able to use the Delete option, an access level of 8 or higher is required.

NB: To run the extract the photo directory needs to exist. If no photos on any vehicles it might not have been created, attempt to attach a photo to a vehicle and then delete, that should create the directory. Need for New and Used.
Vehicle Model code sent in the upload
Sometimes the model code assigned in franchise data is different to the model code you want sent in the extract.
An example is an Audi RS4 – This is categorised as an A4 model in franchise data.
To select a different Model code

Now when a new variant is released that is not the standard model
You need to go into

Select the Fran / Model / Variant
Go to Details Page 2
Select the ellipse and change from blank to the correct model
Now in the 5th column of the extract the new model code will be used for that variant.
Vehicle Franchise & Model code sent in the upload
Sometimes the franchise & model code assigned in franchise data is different to the franchise & model code you want sent in the extract.
An example is an Chevrolet Camaro – This is categorised as an Holden HSV Camaro in franchise data.
To select a different Franchise & Model code to be uploaded

Add the franchise name & model code you want to display in the upload. Insert a pipe | symbol between the franchise & model – no spaces before or after the pipe. You can still have spaces in the Franchise or Model if required (Like Rolls Royce)
Now you should go into the Franchise Data Model or Variant record and select this model in the Model Analysis field

Select the ellipse and change from blank to the correct model
Now in the 4th & 5th column of the extract the new franchise & model code will be used for that model or variant.

On occasions you may also have an issue with a Non-Franchise Vehicle that has a space in the Model Name
E.g Mercedes-Benz GLA 250
By default for Non Franchise Vehicles it will take the next word after the Make and use that for the model
So in this case the Vehicle will be uploaded as a Make :Mercedes-Benz, Model :GLA
Missing the 250 Part
To allow the extract to send the model as GLA 250 you would need to create another Non Franchise Variant for this specific model
e.g MERCEDESGLA250
Then perform the steps above to create a Model Analysis Code with a description of GLA 250
Then assign this on your new variant code, and update the variant code on your VSB stock record.
Clean Car Tax
On 1st April 2022 the Clean Car Tax was added to vehicles who emit high levels of CO2.
Autoplay & Trademe have requested that the Price uploaded should be exclusive of the Tax. They will then lookup the Tax applicable and display it separately on the listing.
To allow the dealers to have the Tax Spec line already on the vehicle. There is a new parameter in the CS.NZ.vswww file to store the relevant option code/s and subtract that value from the Gross Sales Value.
Note this does not subtract the Clean Car Tax from Used Stock when using the internet Selling Price or New Stock using the Shipping Number field for the Selling Price of the vehicle (They will still send the price entered in those fields)
If more than one option code these can be entered with a Pipe separator | (no spaces)
In this example the vehicle will be extracted with the Seliing Price as $130,000
Gross Sales Value $131,000 - $1,000 Clean Car Tax
Customers selling demo vehicles where they have added the Clean Car Specline on and registered the vehicle, will not want the Clean Car fee to be subtracted from the Retail price uploaded. The suggestion is that an additional specline Demo Clean Car Fee is created and used on those vehicles, so that it is not subtracted from the retail price on upload
