This extract is the BMW SEM CASL File extract - Often referred to by BMW as the VOC - Voice of customer.
This extract sends vehicles up that have been sold and also vehicles that have been serviced.
There is specific criteria for vehicle selection.
Most importantly
The VSB vehicle must have a handover date entered on the sales brief tab.
The Service WIP must have the keys returned (Checked out)
The reason BMW added this additional criteria and not selecting them just based on the invoice date, was that they didnt want customers getting selected / surveyed before they had received their vehicle.
eg The customer had purchased the vehicle but they had yest to pick it up from the dealership
The customer has had the vehicle serviced and the customer invoice has been produced, however they are waiting for a part for warranty and that invoice has not been completed yet and the car hasn't been returned.
The dealers were not checking the service vehicles out manually so they later had the WL jobs parameter changed to automatically check vehicles out. However there are some criteria and steps that need to occur for the vehicle to be automatically checked out. They can however still manually check a vehicle out at any time. If an invoice has been produced and the vehicle is checked out it will be selected for extraction.
Rules for selection for automatically checking out.
#1 The Workshop Loading parameter must be set to auto check out
#2 The WIP must be fully costed (No remaining uninvoiced work on the job)
#3 The staff must enter the WL jobs screen at least once a day (AND SCROLL to the bottom of the list - if they dont scroll only the WIPs visible on the screen will be automatically checked out)
When a vehicle is auto checked out - the time in the keys out field will be 99.99
The date will be the date that the last invoice was done (NOT the date that it filled in the checked out date)
The dealership can run the Point-of-Sale Report VNC to see all the vehicles Checked/Not Checked out and the date that the file was sent to BMW.
Importantly dealers should be managing their Work In Progress Reports looking at old WIPs that are still open.
