Purpose: This article provides the step-by-step process for workshop controllers or service managers to mark a technician as unavailable for a portion of the day in the Workshop Loading module.
Scope: Applicable to all service staff with permissions to access the Workshop Loading module.
Step 1: Access Holiday Planner in Workshop Loading Module
- Navigate to the Workshop Loading module.
- Ensure you have the necessary permissions to modify technician schedules.
- Open Holiday planner
Step 2: Open Adjusted availability screen
- Once the technician’s daily schedule is displayed, find the time slot you wish to modify.
- Right-click on the time slot and select "Adjusted availability"
- Step 3: Modify Availability
- In the dialog box that appears, Provide a reason for the unavailability in the designated drop-down (e.g., training, leave, adjustment).
- Specify the time range during which the technician will be unavailable by clicking on time slots. Each slot represents 15 minutes. The colour of the slot will change according to colour set for that reason(check legend)
Step 4: Confirm Changes
- Review the time and reason for unavailability. You may hover over the grids you selected to make sure selected correct time. You can undo the changes if it is not correct.
- Confirm the changes by clicking ‘Save’.
Step 5: Verify Unavailability
- The technician’s schedule should now reflect the period of unavailability, indicated by yellow colour.
- Verify that the schedule change does not conflict with existing appointments or workload.
Step 6: Notify Relevant Parties
- Inform the affected technician of the schedule change.
- Notify the service reception and parts department as necessary.
