The Process of Running the Smart Trade Report
Parts Managers can run the report from Point of Sale / Reports and enquiries / Frequently Used reports.
OR
If using the Desktop then add the report to your Desktop and run it from there.
Note: Report ID can vary in different sites. Please check with an Autoline consultant which is the correct report ID to use.
When you run the report you will be prompted for a Date Range.
Enter the Start and End date of the Month you are reporting on. Then click OK.
The report will open your Excel spreadsheet and fill in the columns.
Depending on your requirement, this report can be set-up to either:
Option 1: Export the report in csv format and gets automatically transferred to Smart Trade via FTP. This can also be run automatically in Timed Operations if required. A Generic File Transfer needs to be set-up by an Autoline Consultant for this to work.
OR
Option 2: Export the report in xls format which you can amend before sending the report to Smart Trade
If you are using Option 2:
Once the report has finished running and before amending the report you need to save the report. Go to File, Save as.
Save the report in the Smart Trade folder and name the report using the following format.
First part is the date = year + month + day 070703 = 03rd July 2007
Middle part = dealer smart trade number 123 = 123
End part is = year/month you are reporting 0705 = May 2007
This will keep a copy of the unedited report in the Smart Trade folder for reference.
Amend the spreadsheet if necessary.
Sending your file to Smart Trade
There are different ways of sending the file to Smart Trade. It can be sent via email or via FTP depending on your agreement with Smart Trade.
To manually FTP the File to Smart Trade
With the spreadsheet open go to File, Save as
From the Save in box select the drop-down box and in the FTP Locations list select the dealerfiles.getgenuine.co.nz location.
A log in box will appear and you will need to enter your user ID and the password then click OK.
(You will need to overtype your user ID each time)
Select Save as Type and change to CSV (comma delimited)
Once the file type has been change, then click the save button
You will get the following message, just click yes
The file will now be saved on the Smart Trade Server.
The CSV file does NOT need to save
Note: some sites have had issues transferring the file by FTP to Smart Trade. As a workaround, you can go to a third-party FTP site like www.net2ftp.com and upload the file from there to Smart Trade.
Sending your file via Filezilla
Logging into your account
Double Click the Filezilla shortcut on your Desktop. The screen below will display. Click the Site Manager icon or select File, site Manager. Select Smart Trade then click Connect.
Upload files
Once logged in, select the folder and files to send. In the Local Site window find your Smart Trade folder and click on it. This will display the folder contents in the window below. Right click the file you want to send and select “Upload”. The file will commence sending to Smart Trade.
Check your file has been sent by clicking on “Successful Transfers” tab at the bottom of the screen. The file transferred should display. Log out of your Smart Trade account by clicking the “Disconnect” icon (with the red x)
