Setup new technician for time clocking

To setup a new technician to enable them to clock, there are 3 key parts to the setup.

1 - Create Resource record

This is done from Workshop Loading > Resources. Click on the Create button to create the record.

Enter the detail as required and click the OK.




Hour cost: The technicians hourly cost can be entered to use for cost of sale postings.

PIN: Used if you want each technician to enter a PIN number when clocking on and off jobs.

Cost of sale: Set to Taken

Employee No: Not required, but you can enter a number for reference.

+/- idle codes: Can be used to to limit the idle codes displayed to the technician. +ABC would only show idle codes ABC to the technician. -AC would display all apart from idle codes A and C.

Availability:  This is entered as a percentage and will affect the number of hours that the technician is available during his shift to clock on to WIP's. Most technicians would be set to 100%. Apprentices and workshop foreman can be set to a lower percentage if required. The percentage here will impact on the total capacity hours of the workshop. The technicians hours that make up the workshop capacity will be the Shift Hours times Availability.

Analysis code: used for reporting purposes in reports and aftersales stats for example.

+/- status codes:   Generally left blank, but this can be used to exclude clock statuses from the time clocking terminals. Setting this as -PA, will not display the clock off statuses of Awaiting parts and Awaiting authority. 

Screens to use: This can be used to display the technician on a specific clocking screen. This is normally used when there are multiple clocking screens in the workshop and you don't want the technicians displaying on all screens.

The rest of the the technician is generally set up as displayed above.

Uploading a picture for the technician can be done from the Picture button in the resource screen.

Save the picture you want to upload to the C:\Rev8Work folder on you PC. This will need to be created if it doesn't already exist. 

Try and make the image small in file size and you may also need to crop it to be a small square thumbnail size.



Select the image from the left side of the screen and then click on Transfer. This should copy the image to the server. Click on OK once done.

 

2 - Technician Ability

The technician ability or skill is set in Workshop Loading > Technician ability.

Left click in the cell to apply 100% ability in the skill.

Left click a cell that is displaying a skill percentage to remove it.




Right clicking on the cell will display other percentage options. Select the appropriate percentage for each skill applicable to the technician.




  In most cases for a standard technician would be set to 100%. The technician is highly efficient, then they can be set to higher than 100%.

If they are not so efficient at a particular skill, then they may be set to be less than 100%. An example would be an apprentice. If they were set to 50%, then a 1 hour job would be loaded in the system as a 2 hour job when assigned to the apprentice. 

The percentage will affect the loading of jobs to technicians when assigning the work in the workshop loading grid in point of sale.

The percentage set here works in conjunction with the availability on the resource record. If you have the availability on the resource record set to 50%, then the ability on a skill set to 50%, then it this will further impact the amount of time when loaded when assigning jobs.

 

3 - Resource availability

The technician availability is setup in Workshop loading > Resource Availability.

Select the technician from the drop down list and click on Open.

In the Edit section to the right, click in Shift selection. From the drop down, select the appropriate shift. The current day has a black border around the cell. Right click from the date the technician should be available to clock on and select rest of year.







If you use teams, then repeat this process by selecting the Team selection radio button and adding the appropriate team.

Click on Save at the top of the screen once finished.
