There can be a few reasons for when a technician can’t clock to a WIP or a particular line.

Run through and check list below:

  • Check the line is loaded in Workshop loading
  • Check the vehicle/WIP is checked in
  • Check the load status is not Complete, Awaiting parts or Awaiting advisor
  • Check the technician has the skill to do the job
  • Check for reload in the jobs screen
  • Future bookings

1 - Check the line is loaded in Workshop loading

Go in to point of sale and check the status of the line. If it is B for Booked then the line has been loaded in workshop loading as either assigned or unassigned. If the line still shows as M for Memo, then the line has not been booked int o the workshop. Load the line as per the normal process.

The line shown below would need to be loaded in to workshop loading and checked in for the technician to be able to see the WIP/labour line.




2 - Check the vehicle/WIP is checked in

Check the colour status of the labour line. If the line is still grey, then the vehicle has not been checked in. You can also check the Keys date fields on the Workshop tab on the WIP header.




If the date is blank, or there is a date in both fields, this would indicate the vehicle is not checked in. Check the vehicle in as per the normal process.

The line below indicates that the labour line has been loaded in workshop loading, but the vehicle has not been checked in.




When checking the vehicle in, the line below would change to yellow.





3 - Check the load status is not Complete, Awaiting parts or Awaiting authority

If the labour line is complete, awaiting parts or awaiting authority then the technician will not see the labour line in the clocking screen. If they need to clock to the line, then right click on the status of the labour line and set it to L – awaiting labour and save the WIP.




4 - Check the technician has have the skill to do the job

Check that the technician does have the skill to do the job. The skill on the labour line displays near the top right of the labour line. Check this against the Workshop loading > Technician ability to make sure they have the appropriate skill.





5 - Check for reload in the jobs screen

Occasionally a job may not reload correctly from the overnight process. To check if this is the issue, go to the jobs screen and find the WIP. Make sure the colour of the line is not grey. If it is, see number 2 above. Right click on the WIP in the screen and see if Reload is greyed then this will not be the issue. If you can click on it, then it will take you to the WIP. Click on save and then get the technician to try clock on.



 

6 – Clock to future WIP’s

This is the least likely scenario as most sites are set to clock to future WIPS. There is a parameter that will stop techs clocking to WIP’s that were booked for a future date.

Check the due in date on the Order tab of the WIP. If this is for a future date, then this may be the issue if you are not set to clock to future WIP’s and all other steps above have been checked. You would need to contact our support to confirm how the parameter is set.
